Before you start
- Compliance records with issue and expiry dates entered. Records without dates remain Not recorded and cannot appear as upcoming.
- A regular slot in your week or month to review the list.
Review what is approaching
Open the Upcoming tab
The register switches to records approaching expiry and dated tenancy obligations, ordered so the nearest dates are easiest to spot.

Upcoming expiries and obligations Click to enlarge Read the badges
Badges such as "In 13 days" or "Expiring soon" show how close a recorded date is. Badges reflect the date you are viewing the page, so the same record will read differently next week.
Open each record you need to act on
Check the responsible contact and notes, then book the renewal outside Fructus with your provider.
Deal with overdue and needs-review items
Open the Action needed tab
This gathers items whose recorded date has passed and items flagged for review.
Separate overdue from needs review
An overdue item has a passed date. A needs-review item asks a person to check something such as applicability or a tenancy transition. Prioritise accordingly, and do not treat every review flag as a missed deadline.
Update the record once you have acted
When the renewed certificate arrives, use Edit / renew to enter the new dates and attach the file.
Filter by status across the portfolio
Use Any status
Choose a status to see, for example, only expired records across every property. Combine it with All properties to focus on one building.
Select Clear when you are finished
This resets the search and every filter so the full register shows again.
Enable and configure automatic email reminders
Automatic compliance email reminders must be enabled and saved for your organisation. They use the expiry dates recorded for supported compliance requirements; keep those dates accurate.
Open Settings → Compliance reminders
Go to Settings and open Compliance reminders.
Enable Send automatic reminders
Switch on Send automatic reminders. Do not assume automatic emails are enabled for every organisation.
Choose Days before expiry
Choose the before-expiry intervals you want. You can enter comma-separated values from 0 to 365 days, with up to eight unique values. A value of 0 means on the expiry date; the preset On the day option uses this value.
Set Repeat when overdue every (days)
Enter a repeat interval between 7 and 90 days for overdue reminders.
Check the Recipients
Select Current owners and administrators to send reminders to your organisation’s current owners and administrators. The recipient group updates as your team changes.
Choose whether to include records already overdue
Use Also remind about records already overdue if you want to include existing overdue items. These items are consolidated into one reminder rather than replaying missed historical reminders.
Select Save reminders
Save your settings so the enabled reminders and your chosen preferences take effect. Email delivery is not guaranteed; continue to review Compliance and Events & Reminders rather than relying on email alone.
Frequently asked questions
How is the status worked out?
The Add and Edit forms state that status is calculated from the expiry date. Records with missing dates remain Not recorded.
Will Fructus email me before a certificate expires?
Fructus supports automatic email reminders for supported compliance requirements once enabled. Go to Settings → Compliance reminders, enable Send automatic reminders and select Save reminders. Email delivery is not guaranteed, so continue to review the dates and records in Compliance and Events & Reminders.
Can I check upcoming dates on my phone?
Yes. The Compliance overview works in a phone browser and lists approaching and overdue items.
Does Fructus confirm that my property is legally compliant?
No. Fructus helps you organise compliance records, monitor deadlines and manage supporting evidence. Compliance information reflects the records and dates entered into your workspace and does not constitute an independent legal assessment or certification. Requirements vary depending on the property and circumstances, so seek professional advice where appropriate.
