Add a compliance certificate

Record a certificate against the right property or unit with its dates, responsible contact and reference notes.

Last updated:

Before you start

  • The property already exists in Fructus. If the certificate covers a single flat or room, the unit should exist too.
  • The certificate itself, or its key details: type, issue date, expiry or next due date and reference number.
  • If you want to assign responsibility, the contractor or contact should already be saved in Contacts.

Open the Add compliance record form

  1. Go to Compliance

Select Compliance in the Operations menu.

  2. Select Add certificate

The button sits in the top right of the Compliance page. It opens a dialog titled Add compliance record.

Complete the record

The form explains that status is calculated from the expiry date, and that records with missing dates remain Not recorded.

  1. Choose the Property

Pick the property the certificate covers. Check the address carefully if you have similarly named properties.

  2. Choose the Unit

Leave Unit as Whole property for building-wide certificates. Select a specific unit when the certificate covers only that flat, room or shop.

  3. Choose the Compliance type

Select the category from the list, for example Gas Safety or EICR.

  4. Enter the Issue date and Expiry / due date

Use the dates shown on the certificate. If the document gives a recommended next inspection date rather than an expiry, enter the date you intend to treat as due and explain it in Notes.

  5. Select a Responsible contact

Choose who is responsible for the next check, or leave it as Not assigned.

  6. Add Notes

Record the certificate reference, the provider and anything a colleague would need, such as which appliances were inspected.

Save and check the result

  1. Select Add record

Select Cancel instead if you want to discard the entry.

  2. Find the new record in the register

Filter the register by the property and confirm the type, dates and status look right. Then attach the certificate file to the record so the evidence sits alongside it.

Frequently asked questions

What happens if I leave the expiry date blank?

The form states that records with missing dates remain Not recorded. Fructus cannot place the record in upcoming or overdue views until a date is entered.

Should I add a new record when a certificate is renewed?

Usually you would update the existing record with Edit / renew rather than create a second record for the same certificate. Keep your own copy of the earlier certificate. See the guide on editing and renewing a record.

Can one certificate cover several units?

Record building-wide certificates against the Whole property. Where each unit has its own certificate, add one record per unit.

Does Fructus confirm that my property is legally compliant?

No. Fructus helps you organise compliance records, monitor deadlines and manage supporting evidence. Compliance information reflects the records and dates entered into your workspace and does not constitute an independent legal assessment or certification. Requirements vary depending on the property and circumstances, so seek professional advice where appropriate.
