The tenancy register

Clear visibility across your residential tenancies.

The register above is searched for “HMO”, narrowing the list to tenancies in shared houses: each row shows the property and unit, monthly rent, status and the next decision due. Search or filter the same way by property, tenant or status when you need a particular slice of the portfolio.

In the Fructus app this area is currently labelled Lease Management, and the register Leases. Residential tenancies are recorded there.

Connected records

Every tenancy, connected to its property.

Open a property and its current tenancy is there, next to occupancy, contractual rent, the compliance summary and the portfolio it belongs to. Keep tenant contacts, rent terms and tenancy dates connected to the right property, rather than reconciling a tenant list against a property list.

The same property record carries ownership and finance context, covered in property ownership and property finance.

  • Tenancy linked to its property and, optionally, a unit
  • One tenant contact per tenancy, added from the form if new
  • Current tenancy, occupancy and contractual rent on the property
  • Compliance summary and portfolio relationship alongside

Tenancy terms

The details that matter, recorded together.

Each tenancy record holds the tenant, linked property and unit, start date and optional end date, monthly rent with its annual equivalent, payment frequency, recorded clauses and events, deposit details and the documents that sit behind it.

  • Start date and optional end date
  • Contract status and derived lifecycle
  • Monthly rent, annual rent and payment frequency
  • Clauses, events and tenancy notes

Rent terms and deposit details are what you record. The deposit section in this example has not been completed.

Individual tenancy record

Record existing tenancies as they really are.

Add a tenancy that started years ago with its historic start date, leave the end date blank for an open-ended arrangement, and set the contract status. The edit form brings property, unit, tenant, lease type, dates, rent, deposit and payment frequency onto one screen.

  1. 01Deposit recordManually record the amount, received and protected dates, scheme, reference, return date, notes and status. Fructus does not independently verify or protect the deposit.
  2. 02Rent activityAdd rent due and rent received entries manually. Recording a tenancy does not automatically generate a recurring rent-payment schedule.
  3. 03NotesContext the next person to open the record will need.

Occupancy and units

Know which properties and units are let.

In a multi-let house or block, occupancy is a unit question. The units view shows who occupies each unit, the contractual rent recorded against it and the estimated market rent, so a vacant room stands out. Rent across properties is drawn together in income and performance.

  • Units with their property and unit type
  • Occupancy status and occupier from recorded tenancies
  • Contractual rent beside market rent estimates
  • Vacant units visible in the same list

Occupancy reflects your tenancy records; a unit without a current tenancy shows as vacant, which Fructus does not verify physically.

Agreements and documents

Keep tenancy documents where they belong.

Find the agreement alongside the tenancy it relates to, together with inventories, correspondence and supporting evidence. When a tenancy ends, its documents stay as history rather than disappearing into an old folder. More in documents and the property lifecycle.

Documents are stored privately within your organisation; see how in private document storage.

  • Upload signed agreements and supporting files
  • Link documents to tenancy, property or unit
  • Current, historic and archived status filters
  • Tenancy checklist with recorded compliance information

Important dates

Stay ahead of important tenancy dates.

Tenancy dates you record feed Events & Reminders. Filter to tenancy events to review expiries and decisions coming up across the portfolio, so a renewal conversation starts weeks ahead rather than the week before.

  • Recorded end dates appear as tenancy events
  • Upcoming and overdue views
  • Filter Events & Reminders to tenancies
  • Future decisions visible before they are due

Recorded dates help you plan; they do not serve legal notices or communicate with tenants on your behalf. A recorded end date does not legally end a tenancy or authorise eviction.

History and compliance

A tenancy record that outlasts the tenancy.

  • Ended and terminated tenancies retainedPast tenancies stay against the property with their terms, deposit record and documents, ready when questions come up later.
  • Tenancy compliance checklistsRecord tenancy obligations with deadlines and supporting evidence. Statuses reflect what you record, not a legal certification.
  • Part of the wider registerTenancy items link into property compliance, alongside certificates and inspections, and repairs sit in property maintenance.
FAQs

Tenancy management, answered.

Can I manage residential tenancies across multiple properties in Fructus?

Yes. Each tenancy is linked to its property and, where relevant, a unit, so you can review tenancies across your portfolio in the register and open any property to see its current tenancy. Each tenancy record links one tenant contact.

Can I record tenancy start dates, end dates and open-ended arrangements?

Yes. Record a start date, including historic dates for existing tenancies, and either a fixed end date or no end date for an open-ended arrangement. Contract status is recorded too, and ended or terminated tenancies stay on record.

Can I store tenancy agreements and supporting documents?

Yes. Upload tenancy agreements and supporting files and link them to the tenancy, property or unit they relate to. Documents can be reviewed as current, historic or archived. Fructus does not generate agreements or provide electronic signing.

Can I track rent and deposit information?

Yes. Record monthly rent and payment frequency, see the annual rent equivalent, and add rent due and rent received entries manually. Deposit records hold the amount, received and protected dates, scheme, reference, return date, notes and status that you enter. Fructus does not independently verify or protect a deposit.

Does Fructus help me keep track of tenancy expiry dates and important reminders?

Yes. Recorded tenancy dates feed Events & Reminders, where you can filter to tenancy events and review upcoming and overdue dates. These help you and your team organise the next steps; Fructus does not communicate with tenants on your behalf.

Does Fructus collect rent, protect deposits or automatically renew tenancy agreements?

No. Fructus is where you keep the tenancy record. Rent collection, deposit protection with an approved scheme, renewals and notices stay with you and your chosen providers, and Fructus helps you see the dates and details involved.
