Before you start
- Access to your Fructus organisation and a property already recorded in it. Have the correct unit available if the repair concerns one flat, room or other individual unit.
- The issue’s location and description, its reported date, and any contractor, target date or cost information you already know.
- Use the screenshots as examples, not live job information. Priorities, dates and costs should reflect your own records.
Report a new maintenance issue
Record the issue against the right property so that its dates, costs and later updates stay together.
Select Report maintenance
Use the button at the top of Maintenance to open the Report maintenance form.

Report maintenance: job details, dates and costs Click to enlarge Choose Property and Unit
Select the relevant property. Choose the individual unit when the issue relates to one; use Whole property for work concerning the building as a whole. The form states that a unit and contractor can be added later.
Set Priority, Title and Description
Choose Emergency, High, Normal or Low as appropriate. Give the job a recognisable title and describe the issue, its location and anything needed to understand the repair.
Review Status and Reported date
Check the initial Status shown in the form and choose an available option that matches the work’s current position. The example new job is Reported. Record when the issue was reported, rather than assuming every issue was reported today.
Record target dates and known costs
Enter a Target completion date where appropriate. The form also has Completion date, Estimated cost and Actual cost fields: use recorded facts, not guesses about when unfinished work will be completed or what it ultimately cost.
Record the contractor and reporting details
Select the Contractor where known, review Reported by and add relevant Notes. A contractor selection records an assignment; it is not evidence that a message has been sent or an appointment agreed.
Select Create job and check the saved record
Review the details, then select Create job. Follow any validation messages shown by your form before continuing. Return to the relevant property group to check the saved title, property, priority and dates. Select Cancel instead if you do not want to submit the form.
Frequently asked questions
Which fields must I complete?
The form states that a unit and contractor can be added later. For other fields, follow the reporting form’s validation messages when selecting Create job. The illustrated filled form does not identify every mandatory field, so this guide does not label the remaining fields as required or optional without confirmation.
